Position Summary

The Bookkeeper is responsible for maintaining accurate financial records and supporting the day-to-day accounting operations of a fast-growing organization. This role manages accounts payable, accounts receivable, payroll support, bank reconciliations, vendor documentation, and project-related accounting records while ensuring accuracy and compliance with company procedures.

Essential Duties and Responsibilities

Accounts Payable

  • Process vendor invoices accurately and timely.
  • Match invoices to purchase orders and subcontract agreements.
  • Track retainage and subcontractor payments.
  • Verify lien waivers, certificates of insurance, and required vendor documentation.
  • Prepare weekly check runs and electronic payments.

Accounts Receivable

  • Generate customer invoices and progress billings.
  • Monitor collections and follow up on outstanding receivables.
  • Record customer payments and deposits.
  • Maintain accurate customer account records.

Payroll Support

  • Process employee timesheets and payroll information.
  • Assist with certified payroll reporting and prevailing wage requirements.
  • Maintain payroll records and employee documentation.
  • Coordinate payroll information with payroll service providers as needed.

General Accounting

  • Perform bank and credit card reconciliations.
  • Record journal entries and maintain general ledger transactions.
  • Assist with monthly and year-end closing activities.
  • Maintain fixed asset and equipment records.
  • Organize accounting files and supporting documentation.

Administrative Support

  • Assist with preparation of financial and job cost reports.
  • Support project managers with cost tracking and documentation.
  • Maintain vendor files and W-9 records.
  • Assist with audit, tax, and insurance requests.
  • Ensure compliance with company accounting procedures.

Required Qualifications

  • Associate degree in Accounting, Business Administration, or related field, or equivalent experience.
  • Minimum of 3 years of bookkeeping or accounting experience.
  • Proficiency in Microsoft Office, especially Excel.
  • Experience with accounting software systems.
  • Strong data entry and reconciliation skills.
  • Experience in construction accounting.
