Position Summary
The Bookkeeper is responsible for maintaining accurate financial records and supporting the day-to-day accounting operations of a fast-growing organization. This role manages accounts payable, accounts receivable, payroll support, bank reconciliations, vendor documentation, and project-related accounting records while ensuring accuracy and compliance with company procedures.
Essential Duties and Responsibilities
Accounts Payable
- Process vendor invoices accurately and timely.
- Match invoices to purchase orders and subcontract agreements.
- Track retainage and subcontractor payments.
- Verify lien waivers, certificates of insurance, and required vendor documentation.
- Prepare weekly check runs and electronic payments.
Accounts Receivable
- Generate customer invoices and progress billings.
- Monitor collections and follow up on outstanding receivables.
- Record customer payments and deposits.
- Maintain accurate customer account records.
Payroll Support
- Process employee timesheets and payroll information.
- Assist with certified payroll reporting and prevailing wage requirements.
- Maintain payroll records and employee documentation.
- Coordinate payroll information with payroll service providers as needed.
General Accounting
- Perform bank and credit card reconciliations.
- Record journal entries and maintain general ledger transactions.
- Assist with monthly and year-end closing activities.
- Maintain fixed asset and equipment records.
- Organize accounting files and supporting documentation.
Administrative Support
- Assist with preparation of financial and job cost reports.
- Support project managers with cost tracking and documentation.
- Maintain vendor files and W-9 records.
- Assist with audit, tax, and insurance requests.
- Ensure compliance with company accounting procedures.
Required Qualifications
- Associate degree in Accounting, Business Administration, or related field, or equivalent experience.
- Minimum of 3 years of bookkeeping or accounting experience.
- Proficiency in Microsoft Office, especially Excel.
- Experience with accounting software systems.
- Strong data entry and reconciliation skills.
- Experience in construction accounting.
